Your information. How we use it, and how we look after it.

This page explains what the Management Dynamics and SDI platform collects about you, why, where it is kept, and the rights you have over it under UK GDPR.

Who is responsible for your data

Different Dynamics Ltd is the data controller. 15 Boreham Mead, Wiltshire, BA12 9FN, United Kingdom. VAT number GB893654084. For anything about your data, email michael@differentdynamics.com.

The platform is built and operated on our behalf by a UK technology partner, acting as our data processor under a written agreement. The coach's answers are generated by a closed, commercial AI model from Anthropic, under terms that do not allow your conversations to be used to train it.

What we collect

  • Account details: your name, email address and login.
  • Programme activity: which sessions you have completed and how far through them you are.
  • Your workbook: what you write in it, your 90-day plan and the 1 to 10 scores you give yourself at the start and end, your answers to the short feedback at the end of the programme, plus short notes the coach keeps of what you tell it in coach moments and chats, so they follow you across devices and the coach can remember the manager you want to be. You can read and delete those notes in your workbook at any time.
  • Coach conversations: what you ask the coach and what it replies, so it can remember your situation between visits.
  • Engagement: when you last used the coach and how often, in counts only.
  • Payment: if you pay by card, payment is handled by Stripe. We never see or store your card details.

Why we use it

  • To run the programme for you: logins, progress, the coach and the follow-up nudges. Lawful basis: performance of our contract with you or your organisation.
  • To support you: if the coach flags something only a person can answer, a facilitator at Different Dynamics follows up. Lawful basis: legitimate interests.
  • To improve the programme: aggregated, anonymised usage and ratings. Lawful basis: legitimate interests.
  • To send you programme reminders: welcome, reminders and check-ins, by email and, if you switch them on, as notifications on your phone or computer. Notifications travel through your browser's own push service (Google, Apple, Mozilla or Microsoft), encrypted so that only your device can read them. You can change or stop reminders at any time under Reminders in the portal, or with the link in any reminder email.

Who sees what

Your conversations with the coach are private. They are kept in your own browser so the coach can pick up where you left off, and our servers keep only counts of usage, not what you said. Your workbook, your scores and the coach's short notes are saved to your account so they follow you from device to device. Only you and the coach see them, and you can read and delete the coach's notes in your workbook at any time. If your organisation bought your place, its administrator can see whether and how much you are using the programme and the group's average scores at the start and end and average ratings of the programme, never what you wrote, what you asked or what the coach replied.

The one exception. Sometimes the coach decides a question needs a person, for example something only your facilitator can answer. When that happens, that question and up to three messages before it are shared with Different Dynamics so a facilitator can follow up with you. You agree to this when you sign in, and it is the only time anyone at Different Dynamics sees your words.

We do not sell your data and we do not share it with advertisers.

Where it is kept

Your data is stored on our platform provider's secure servers, protected by encryption in transit and at rest, individual logins and access controls. Where data is processed outside the UK or the European Economic Area, it is covered by the UK International Data Transfer Agreement or standard contractual clauses.

How long we keep it

For as long as your access is active, and for twelve months afterwards so you can come back to your history. You can ask us to delete your coach conversations, your workbook, or your whole account, at any time. Anonymised statistics may be kept longer.

Your rights

To use any of these, email michael@differentdynamics.com. We reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

The platform uses only the cookies it needs to keep you signed in and remember your preferences. There are no advertising or tracking cookies. Our client video is hosted on Vimeo: nothing is loaded from Vimeo until you press play, and it then plays with Vimeo's do-not-track setting switched on.
